Share Settings & Review

Fine-tune how your Share looks and behaves, then review Media with comments and statuses. Most settings can be changed after sharing.

General settings

Sort order: control how Media is ordered in the Share.
Allow downloads: let viewers download files and set a maximum resolution.
Upload new files: let visitors add files, set a total upload limit, and choose which Galleries may receive them.
Allow comments: enable text comments and image annotations.
Allow status: let viewers set review statuses on Media.

Visitor uploads

Turn on Upload new files when clients or collaborators should deliver files back through the Share. Set the total visitor upload limit, then choose Allowed targets to permit every included Gallery or only specific destinations.

Visitors see Upload only in an allowed location. If several destinations are available, Framebird asks them to choose one. Uploaded files become Media in your workspace and identify the public uploader when that information is available.

Enable Share upload notifications in Settings → Notifications if you want an email when visitors add files. Turn uploads off when the collection window closes.

Selection workflows

When Allow status is on, Status type defines the available choices, such as Favorites, Approval, or a custom preset. Selection workflow defines how participants use those choices.

Shared selection

Everyone works on one current decision per Media. The latest accepted choice becomes the shared result. Viewers can see that result, but they cannot see who made an earlier choice or open the creator audit history.

Individual selection

Each participant keeps a separate decision per Media. Participants see only their own selections. The Share owner and authorized creator-side collaborators can see totals, disagreements, current participant decisions, and review history.

An anonymous participant’s selections continue in the same browser profile. To continue on another browser or device, the participant must sign in or open a verified invitation.

Security

Password protection: add a password for private Shares.
Expiry date: automatically disable access after a date.

Advanced options

Show EXIF: display camera metadata to viewers.
Show position data: show location metadata when available.
Include Sub-Galleries: automatically include nested Galleries.
Notify on activity: get notified about new comments or status changes.

Theme presets

Use theme presets to control the Share’s look.

Pick a Share Theme preset.
Adjust grid style, spacing, tile size, and rounded corners.
Choose fonts and color schemes.
Pick a logo and hide the “Shared with” button if needed.

Review tools

Open any Media in the Share viewer to review and collaborate.

Leave comments on Media.
Add annotations on images.
Choose a review status, such as approved or needs changes.
Clear a status when no current choice should remain.
Download files directly from the viewer.

Review results for creators

In an individual-selection Share, Media can show several status segments with counts. Select the status stack to see current participant decisions and the paged review history.

Needs Alignment shows Media where at least two current participants chose different non-empty statuses. It ignores unreviewed and cleared selections. The filter is unavailable when the status type has only one possible non-empty choice, such as Favorites.

Review history shows the actor recorded at the time, the previous and new status, and a localized time. A time marked as estimated came from migrated legacy activity.

Workflow resets and history

Changing the selection workflow after review activity starts requires confirmation. The change starts a new review round and clears current selections from the active grid and totals. Earlier events stay available in creator review history and are not converted into the new workflow.

Turning Allow status off does not itself erase the current round. It hides review controls and prevents new selections until review is enabled again.

Identity, privacy, and retention

Public participants never receive another participant’s identity, individual choices, team totals, disagreement state, or creator audit history.
The creator detail view can show the participant name and optional contact value recorded when an event happened.
Removing Media from a Share hides its current review state from active summaries. Restoring the same relationship may restore the current-round state when it is safe.
Review history is not promised to be kept forever. Permanent Share or account deletion and applicable privacy requirements take precedence.

Best practices

Enable comments for feedback rounds and disable when final.
Choose the workflow before inviting participants.
Use Needs Alignment to resolve differing individual decisions.
Set an expiry date for time-limited deliveries.
